Privacy notice

Duet Health Foundation (“Duet”) is the data controller for the personal information you give us. This notice explains what we collect, why we collect it, and what you can ask us to do about it.

What we collect

• Contact details you send us through a form on this website: your name, email address, phone number where you give one, and anything you write to us
• Files you attach to an enquiry or a job application, such as a CV or a supporting document
• Donation records, including Gift Aid declarations where you make one, and monthly giving arrangements
• Membership and volunteering details, including the areas of our work you are interested in
• Newsletter sign-ups: your name, email address and the topics you chose
• Grant enquiries from researchers and organisations, including the project information you send
• Anonymous website statistics: the pages viewed, the website that referred you, and a random visit reference that is not linked to your name. These are only collected if you accept cookies

Why we use it

To reply to you, to administer donations, memberships and grants, to consider job and volunteering applications, to meet our legal and accounting duties, and — only where you have asked us to — to send occasional updates about our work.

Our lawful bases

• Consent, for the newsletter and for website statistics. You can withdraw it at any time
• Contract or steps towards one, for memberships, monthly giving and grant agreements
• Legal obligation, for Gift Aid claims, accounting and charity reporting
• Legitimate interests, for replying to enquiries and running the charity day to day, where doing so does not override your rights

How long we keep it

Donation and Gift Aid records are kept for seven years, as tax rules require. General correspondence is kept for up to three years. Unsuccessful grant enquiries and job applications are deleted after two years unless you ask us to keep them on file. Newsletter details are kept until you unsubscribe. Website statistics are kept in an anonymous form only.

Who we share it with

We do not sell, rent or swap personal information. We share it only with the service providers who help us operate — for example our website host, our email provider and our donation platform — and with HMRC where Gift Aid is claimed. Where a provider is outside the UK, we rely on the safeguards UK data protection law requires.

Keeping it safe

Information sent through this website travels over an encrypted connection and is held in access-controlled systems. Only the small number of people who need it can see enquiries and applications.

Your rights

You can ask for a copy of your information, ask us to correct or delete it, ask us to restrict how we use it, object to our using it, or withdraw consent to marketing at any time. Email Info@duet.org.uk and we will reply within one month. Our page on your data rights explains each right in more detail.

Complaining

If you are unhappy with how we have handled your information, please tell us first at Info@duet.org.uk so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
